Office wayfinding software: FAQ

Answering the most popular questions about wayfinding software, wayfinding signage, and navigation in the office.

Office wayfinding is how people find their way around a workplace - to a meeting room, a booked desk, a colleague, or the exit. It matters most in large or multi-floor offices, and in flexible offices where nobody sits in the same place twice, so the mental map people used to rely on no longer exists. Digital wayfinding replaces printed maps and signs with an interactive map on a phone or lobby kiosk.

Digital wayfinding software gives people an interactive map and turn-by-turn directions inside a building, on their phone or a kiosk. Unlike printed maps and fixed signs, it updates when the office changes - a desk moves, a floor is reconfigured, a room is renamed - without reprinting anything. YAROOMS wayfinding uses Mappedin’s indoor mapping technology and draws its floor plans from the same maps used for desk and room booking.

Three steps:

  1. Book a desk or meeting room in YAROOMS
  2. Request directions from your phone or a lobby kiosk
  3. Follow the route - an interactive map shows the path from where you are to the space you reserved

The map is the same interactive floor plan used for booking, so it always reflects the current layout.

Yes, and this is the practical difference between wayfinding built into a workplace platform and a standalone wayfinding app. A standalone tool can show you where meeting rooms are; it cannot route you to the one you reserved, because it does not know about your booking. YAROOMS knows which desk or room is yours, so directions go to that specific space - which matters most in hot-desking offices where you sit somewhere different each week.

Signage is the physical layer: signs at specific points telling you what a room is called or where the exit is. Wayfinding is the whole system of helping someone get from where they are to where they need to be, of which signage is one part alongside floor maps, color coding and digital tools.

YAROOMS provides the digital layer - interactive maps and directions on phones and kiosks. It does not produce physical signs; those come from a signage supplier and the two work together.
